Abstract
Consider as a place of memory of a university department, the memorandums of meetings contain relevant information regarding the decisions made and obtained. In this sense, the objective, in the initial phase of a university extension program, was to elaborate criteria to record and analyze the memorandums developed in the Department of Information Science at the State University of Londrina, in order to identify the different managements and actions carried out on those periods. As a methodology, qualitative research was carried out with exploratory and descriptive objectives based on bibliographic research in order to support the study. After relevant discussions, an instrument was elaborated in which the data shown in the documents are being inserted. Being presented as a form of experience report, by highlighting the items that made the instrument, moreover, it is expected to contribute with other universities and institutions in regards to the registration process of decisions they made. Thusly, raising awareness and reflecting on the memorandums, as they are a valuable document for the preservation of memory of an institution focused on teaching, research, and extension program.
