Use of Artificial Intelligence

Policy on the Use of Generative Artificial Intelligence

The journal EntreAções: diálogos em extensão recognizes that Generative Artificial Intelligence tools, such as ChatGPT, Gemini, Copilot, Claude, and other similar technologies, may be used as resources to support textual production.

The use of these tools must be ethical, transparent, and responsible, and must not replace authorship, critical analysis, extension experience, or the responsibility of the people involved in producing and reviewing the works.

This policy applies to articles, experience reports, interviews, and other content submitted to or produced for the journal.

1. Permitted use

Generative Artificial Intelligence tools may be used to support activities such as:

  • initial organization of ideas;
  • grammar review and improving the clarity of the text;
  • translation;
  • drafting summaries or preliminary outlines;
  • adapting the language;
  • supporting the organization or presentation of information.

Content produced with this support must be carefully read, checked, and revised by the authors. Information, data, references, citations, and interpretations suggested by AI tools must not be used without verification.

Traditional spelling correction, formatting, or word-processing resources that do not create or rewrite content do not need to be declared.

2. Mandatory disclosure

The use of Generative Artificial Intelligence at any stage of preparing the work must be disclosed in the text itself. The disclosure must state:

  • the name of the tool used;
  • the purpose of its use;
  • the stage of the work in which the tool was used.

This information must be presented at the end of the work, before the references, in a section titled "Declaration of Use of Artificial Intelligence." When no Generative Artificial Intelligence tool has been used, this section is not required.

3. Prohibited uses

  • present, as one's own, a text produced entirely by an Artificial Intelligence tool;
  • list an AI tool as an author or co-author of the work;
  • use AI to invent data, sources, references, citations, results, activities, or extension experiences;
  • use AI to create, alter, or complete answers attributed to an interviewee;
  • use AI to draft review reports;
  • enter unpublished manuscripts, unpublished interviews, or confidential information into AI tools without adequate protection guarantees and authorization to process that content;
  • omit or misrepresent information about the use of Artificial Intelligence.

4. Use of AI in interviews

Statements published in interviews must correspond to what was actually stated by the interviewee.

AI tools may be used to assist with transcription or with the linguistic revision of the interview, provided that:

  • the meaning of the answers is preserved;
  • no information is added that was not stated by the interviewee;
  • the changes are checked by the people responsible;
  • the use of the tool is disclosed in the text.

AI may not create answers, opinions, or statements attributed to the interviewee.

5. Review of works

The review of works must be carried out by reviewers, based on their reading, analysis, and critical judgment.

It is not permitted to use Generative Artificial Intelligence tools to draft, complete, or replace the review report.

Reviewers must also not enter manuscripts submitted to the journal, in whole or in part, into external AI tools, since works under review are confidential documents that have not yet been published.

6. Responsibility of the authors

The people who sign the work are responsible for all of its content, even when Artificial Intelligence tools were used as support. This responsibility includes:

  • the accuracy of the information;
  • the correctness of the data;
  • the existence and accuracy of the references;
  • respect for copyright;
  • the protection of personal data;
  • the preservation of the statements of participants and interviewees;

Decisions on the acceptance, revision, or rejection of works will be made by the editorial team and by the reviewers.

Automated tools may be used for administrative, verification, or editorial support tasks, but may not replace human judgment regarding the quality, relevance, ethics, or suitability of a submission.

8. Non-compliance with the policy

Failure to disclose the use of Artificial Intelligence, or the use of the technology in a manner inconsistent with this policy, may result in:

  • a request for clarification or corrections;
  • suspension of the review process;
  • rejection of the submission;
  • withdrawal of the work, when the irregularity is identified after publication;
  • the adoption of other measures provided for in the journal's ethics and editorial integrity policies.

Each situation will be analyzed by the editorial team, taking into account its nature, severity, and possible consequences.

9. Regulatory reference

This policy is based on CNPq Ordinance No. 2,664, of March 6, 2026, which establishes the Scientific Integrity Policy of Brazil's National Council for Scientific and Technological Development (CNPq).

Although the journal EntreAções is specifically focused on technical and scientific production and extension experiences, the principles of transparency, integrity, responsible authorship, and respect for people also apply to the content it publishes.
